Key timelines at a glance

A summary for quick reference. The clauses below are what apply.
PART A

Lead registration process

1. Lead registration

Channel Partner must register the leads to Casatrance CRM department only.

2. Lead validation

Each lead will be validated by Casatrance within 24 hrs of registration.
a.A lead is considered valid only if it contains the client’s full name, contact number, and email ID (if available).
b.Duplicate or incomplete entries will be automatically disqualified.

3. Lead validity

a.The validity of the lead expires within 15 days from the date of the registration if the Channel Partner/agent fails to complete the site-visit by accompanying the client.
b.Post site-visit, the registered lead will be valid until 60 days from the date of registration.
c.Channel Partner will lose the validity of the lead if our other associate registers the same lead and completes a successful site-visit by accompanying within the specific validity mentioned in point no: 3(a).
d.Channel Partner during registering the client should inform us if we should contact the client for follow-up or not.

4. Lead clash handling

a.We strongly recommend the Channel Partner to accompany with the client during the site-visit to avoid lead-clash with other agents.
b.Channel Partner vs Channel Partner Lead Clash: In case two or more channel partners claim the same lead:
1.The channel partner who accompanies the client during the first site visit will be considered the valid lead owner.
2.If no channel partner accompanies the site visit:
1.The channel partner whose name is mentioned by the client in the booking form will be considered the lead owner.
2.If the client does not mention any channel partner, then the partner who first registers the lead in the system will be considered the valid owner, provided it falls within the lead validity period as mentioned in clause 3(a).
3.If both leads are registered at approximately the same time (within 5 minutes), the client will be directly contacted via call/SMS/email to confirm whom they are engaging with. The confirmation will be documented and considered final.
c.Clash with Casatrance In-house leads:
1.If the client confirms a site visit appointment with the Casatrance in-house team, the lead will be considered as belonging to Casatrance.
2.If the client has not confirmed a visit with the in-house team, and a channel partner accompanies the client for the first visit, then the channel partner will be considered the valid lead owner.
3.If the client attends the site visit independently (without in-house or channel partner), and later proceeds with a booking:
1.The client’s declaration in the booking form will be taken into account.
2.If no declaration is made, the first valid registration in CRM will be reviewed to determine ownership.
4.In case a site visit is coordinated jointly (in-house + channel partner), Casatrance will:
1.Review internal logs, communication records, and client confirmation to decide fairly on lead ownership.
d.If the client acknowledges both channel partners: The partner who brought the client for the first site visit will be given priority. Valid proof (visit log, attendance sheet, photos) must be submitted within 24 hours of the visit.
e.Site visit claims must be supported with documentation such as signed visitor logs, timestamped photos, or video evidence.
f.Failure to submit proof within 24 hours may result in forfeiture of the lead claim.
g.If the client denies association with the registered partner, the lead will be released after formal confirmation and may be reassigned.
h.The final decision regarding lead ownership lies with Casatrance sales/CRM team.
i.Casatrance decision will be binding and final in case of any unresolved disputes.
j.Any attempt to falsify lead information, manipulate records, or falsely claim a lead may result in:
a)Immediate disqualification from the ongoing project.
b)Suspension or termination of Channel Partner rights.
c)Blacklisting from future association with the Casatrance.

5. Client feedback
